During these meetings, important decisions affecting the entire company are made, so adequate preparation is needed. To successfully organize board meetings, the following mistakes should be avoided:
- Failure to Plan Adequately
Board meetings must be guided by a clear agenda that promotes constructive discussion regarding various company issues. This requires prior planning, as organizers should ensure each board meeting participant understands their role to participate in the meeting actively. Meeting agendas should be shared with attendees at least a week in advance to give them time to prepare. Meeting tools such as video conferencing software should already be installed for virtual meetings.
- Wrong Room Configuration
Room configuration dramatically influences the effectiveness of a board meeting. For instance, half-rounds or square configurations are ideal if the goal is to maximize participant interaction. A U-shaped configuration or break-out rooms also come in handy for group exercises. Rectangular tables can also be used to facilitate group exercises.
- Improper Minute Taking
Minutes shouldn’t necessarily capture every meeting detail but should instead record key headlines, agenda items, decisions, and important notes. The minutes should only represent facts and avoid including personal opinions or bias from the author. Minutes should be clear to allow anyone reviewing the information in the future to understand what transpired during the meeting.
